MAINSTAY INSURANCE websites (collectively “MAINSTAY INSURANCE,” “MAINSTAY INSURANCE.com”, “we,” or “us” in this document) refer to sites hosted by or on MAINSTAY INSURANCE. This privacy policy describes how MAINSTAY INSURANCE uses and protects any information that you give us. We are committed to ensuring that your privacy is protected. If you provide us with personal information through MAINSTAY INSURANCE, you can be assured that it will only be used in accordance with this privacy statement.

Access to data

Information you have access to may vary depending on the site and the type of information collected (ex. eCommerce sites).

Retention of personal information

We will retain your personal information only for as long as we need to, for the success of the MAINSTAY INSURANCE projects and the services that support MAINSTAY INSURANCE. We keep contact information (such as mailing list information) until a user unsubscribes or requests that we delete that information from our live systems. If you choose to unsubscribe from a mailing list, we may keep certain limited information about you so that we may honor your request.

MAINSTAY INSURANCE will not delete personal data from logs or records necessary to the operation, development, or records of MAINSTAY INSURANCE.

MAINSTAY INSURANCE shall maintain individual customer data for at least 3 years to better track and foster community growth, and then automatically delete non-essential data collected. Individual names and email addresses will be retained indefinitely, to preserve our ability to respond to code of conduct reports.

On MAINSTAY INSURANCE sites, banking/financial data collected as part of a reimbursement request is deleted from MAINSTAY INSURANCE 30 days after the request is marked paid. The reason for the 30-day retention period is to prevent organizers having to re-enter their banking details if a wire fails or if a payment was marked “Paid” in error. Invoices and receipts related to MAINSTAY INSURANCE expenses are retained for at least 7 years after the close of the calendar year’s audit, by instruction of our financial consultants (auditors & bookkeepers).

When deletion is requested or otherwise required, we will anonymize the data of data subjects and/or remove their information from publicly accessible sites if the deletion of data would break essential systems or damage the logs or records necessary to the operation, development, or archival records of the MAINSTAY INSURANCE projects.

Rights in relation to your information

Data Security

We take reasonable and appropriate measures to protect your personal information to prevent loss, unauthorized access, misuse, disclosure, alteration and destruction. Implementing appropriate physical and electronic procedures to help safeguard and secure personal information.

In the event of a security breach, we have in place managerial procedure to mitigate any damages to individuals affected.

Here is our simplified security process when handling security breaches (steps may not be in order):

  • Notify appropriate supervisory authority in no more than 72 hours after becoming aware of breach of users’ personal data (includes number of users whose data was exposed, nature of breach, and actions being taken to mitigate effects)
  • Identify hack and remove their code and means of access
  • Change all passwords and recover fresh backup
  • Contact all impacted users of data breach
  • Take preventative measures to prevent hack again
  • If needed, considering the need of law enforcement investigation before publically announcing the breach

We take these steps to prevent data from further being exposed and being transparent with users about security situations involving data. This process (along with privacy policy) is in accordance with EU privacy policy standards.

Children’s Privacy

Protecting the privacy of children is important to us. For that reason, we never collect or maintain information at our website from those we actually know are under 18, and no part of our website is structured to attract anyone under 18. To access and create an account, the user must be at least 18 years old.

Payments

If you choose to accept payments through a gateway like PayPal or Stripe, some of your — your customers’ — data will be passed to the respective third party, including information required to process or support the payment, such as the purchase total and your customer’s billing information.

eCommerce Sites

If you choose to conduct payments through eCommerce stores such as WooCommerce, some of your – and your customers’ – data will be passed to the respective third party, including information required to process or support the payment such as the purchase total and your customer’s billing information.
